Workshop Hosting - Cancellation Policy

This policy exists to protect the time, resources, and income Craggy Pear Emporium commits when scheduling and promoting workshops.

When a workshop date is held, we are unable to offer that time to other facilitators and incur real costs in marketing, administration, and staffing.

Facilitator-Initiated Cancellations

More than 56 days (8+ weeks) before the workshop date

  • 25% of the total room hire fee

  • Any marketing or promotional costs already incurred

Any deposit paid will be credited toward this amount. Any remaining balance will be refunded where applicable.

14–56 days (2–8 weeks) before the workshop date

  • 75% of the total room hire fee

  • 100% of marketing and promotional costs

  • Any admin or transaction costs already incurred

The non-refundable deposit will be applied toward these fees. Any outstanding balance will be invoiced.

Less than 14 days before the workshop date

  • 100% of the total room hire fee

  • 100% of marketing and promotional costs

  • Any admin or transaction costs already incurred

  • No credits or transfers

Important Notes

  • Cancellation fees are calculated based on the total room hire fee, not just the remaining balance

  • The 50% non-refundable deposit forms part of the cancellation fee, not an additional charge

  • Fees apply regardless of ticket sales

  • Cancellations due to personal circumstances, scheduling issues, or lack of preparedness are included

What Counts as Marketing & Promotional Costs?

Marketing and promotional costs may include (but are not limited to):

  • Social media marketing

  • Email marketing preparation and distribution

  • Website listing setup

  • Design, copywriting, or photography work

  • Staff time spent on administration

Where applicable, these costs will be itemised.

Why This Policy Exists

When a workshop is cancelled, Craggy Pear Emporium:

  • Loses the opportunity to host another workshop

  • Has already invested time, labour, and marketing spend

  • Experiences reputational impact with customers

This policy ensures those costs are not absorbed by the business - which is reasonable.

Craggy Pear Emporium–Initiated Cancellations

Craggy Pear Emporium reserves the right to cancel or reschedule a workshop due to:

  • Insufficient bookings

  • Illness or emergency

  • Safety or operational concerns

  • Circumstances beyond our control

In these cases:

  • Facilitators will not be charged a cancellation fee

  • Any paid fees will be refunded or credited

Acknowledgement

By submitting an application for a workshop and confirming a booking once accepted by Craggy Pear, facilitators acknowledge and agree to this cancellation policy.
